Credit Control
The purpose of this module is to ensure that credit control interactions and decisions are captured electronically to eliminate
the common practices of writing notes on aged debt reports and using post-it notes to act as reminders of actions that need to
be taken.
Unique Features
This module tracks credit credit control activity and has many unique features including:
- Allocation of work - customers can be allocated to credit controllers based on name or debt level
- Interaction history - all credit control interactions (details of conversations, emails, letters, and faxes) can be recorded
- Access to information - credit controllers have access to all the information they need from a single screen
- Schedule activities - tasks can be set for specific dates, times and operators to follow up on debt collection
- Credit history - a history is maintained of every time a customer was placed on stop
- Stop release triggers - credit controllers can set criteria under which an account is automatically released from stop, e.g. payment of a specified amount
- Amber alerts - credit controllers can be notified automatically of any customers approaching their credit limit so that pre-emptive action can be taken
The remainder of this page contains further information on the features and functions of the credit control module.
Debt Management
The traditional printed aged debt reports are available but are superseded by online functions that provide credit controllers
with the tools they need to manage aged debt more effectively. These tools include:
- Allocated debtor list - this lists the customers that need to be contacted in relation to their debt
- Customer view - customer details are presented in a view that is optimised for credit controllers
- Record call outcomes - record details of conversations held with customers
- Schedule follow up - specify the action to be taken, who should take it, and when it should be taken
- Stop management - place customers on stop and release them from stop, or specify the criteria under which they will automatically be released from stop
- View stop history - view the occasions when a customer was placed on stop in the past
- Exclude valued customers - exclude highly valued customers from the normal credit control process
The effectiveness of credit controller activity can be assessed and revised using information provided such as:
- Aged debt by credit controller - customers can be allocated to credit controllers and their debt monitored
- Credit control activity - actions taken can be monitored
- Debtor days - average debtor days can be monitored period by period
Credit control activity is an integral part of understanding the profile of a customer. Credit control notes can be exchanged
with sales reps using handheld devices to help them perform their account management function.
Reports
Examples of the reports that can be generated from information processed through this module include:
- Aged debt - lists debtors based on criteria selected such as minimum debt level, currency and territory
- Customers on stop - listing of customers that have been placed on stop
