Fleet Management
Any sales and distribution or service organisation that operates its own delivery fleet needs to keep track of vehicles
from acquisition to disposal.
Unique Features
The fleet management module has many unique features including:
- Acquisition to disposal - vehicle acquisition and dispoal details are recorded
- Service history - service history is available for each vehicle
- Service warning - fleet managers can be notified that a scheduled service is due automatically for a vehicle
- Accident history - accident history is available for each vehicle
The remainder of this page contains further information on the features and functions of the fleet management module.
Service Activity
A service profile can be created for each vehicle, e.g. number of kilometres (miles) between each service. Odometer readings
received from handheld devices or vehicle telemetry can be used to provide notification that a service is due, enabling an alternate
vehicle to be sourced while the vehicle is being serviced. For each vehicle service, the following can be recorded:
- Serviced By - name of the garage/firm that serviced the vehicle
- Cost - cost of the service
- Notes - free format notes that can be used to record any significant work done
Accident History
While everyone hopes to avoid accidents, they are a normal part of fleet operations. For each accident, the following can
be recorded:
- Date and time - date and time of the accident
- Vehicle - vehicle involved in the accident
- Driver - driver involved in the accident
- Description - free format description of the accident
- Cost - cost of the accident
Vehicle Details
The details that can be maintained on the system for each vehicle are as follows:
- Make and model - vehicle make and model
- Acquisition date - date on which the vehicle was acquired
- Disposal date - date on which the vehicle was sold/scrapped
- Service interval - number of kilometres (miles) or time between each scheduled service
- Leasing company - leasing company (if applicable)
- Leasing cost - monthly cost of the vehicle
- Haulier - used if the vehicle is owned and operated by a third party
A history of all vehicles used is maintained by the system even after they have been sold/scrapped.
Reports
Examples of the reports that can be generated from information processed through this module include:
- Service history - history of all service activity for one or more vehicles
- Accident history - accident history by vehicle or driver
