POD Processing

A POD (Proof of Delivery) normally has a customer signature on it and it provides proof that materials or services were delivered to that customer.

Standard information on a POD includes date of the transaction; customer name, address and account code; driver; and a list of items delivered or services provided.

PODs are also know by a variety of terms including delivery dockets; delivery tickets; service tickets; and job tickets.

PODs may be input in this module, or they may be imported from mobile computing devices.

Unique Features

The main purpose of this module is to record, display and analyse PODs. Some of the unique features of this module include:

  • POD batch control - PODs may be input individually or in batches to minimise the risk of errors.
  • Multiple activities - a POD can contain multiple activities such as product deliveries, product returns, asset movements, general service, or asset service
  • Auto convert to invoices - PODs are automatically converted to invoices by the system.
  • POD query - there are a variety of ways to quickly and easily locate a POD
  • Customer signatures - customers signatures captured against PODs can be displayed
  • Unproductive PODs - an unproductive POD is where a driver visited a customer but the customer refused to take anything

POD Batch Entry

Inputting PODs in batches helps to reconcile delivery activity, and also helps to monitor the performance of specific journeys.

The batch input process reconciles the following:

  • Stock - opening and closing stock can be input, and the closing stock figures are reconciled against the deliveries undertaken
  • Visits - PODs are input for all productive visits - if customers on the journey were not visited, the reason must be specified
  • Unproductive PODs - if a customer was visited but did not take anything, an unproductive visit has to be recorded

A batch proof list is generated before the batch of PODs is committed onto the system.



POD Query

There are a variety of ways to locate a POD within the system. These include:

  • POD number - a POD can be retrieved using all or part of a POD number
  • Customer - all PODs associated with a customer can be displayed
  • Driver - all PODs recorded by a driver for a specified period can be retrieved
  • Date range - all PODs for a specified date range can be displayed
  • Depot - in common with other options, all PODs for a depot for a specified date range can be displayed
  • Device - all PODs for a specified device can be displayed
  • Journey - all PODs recorded on a specified journey can be displayed

The customer signature can be displayed when viewing a POD.



Reports

Examples of the reports that can be generated from information processed through this module include:

  • PODs by date - displays summary information for all PODs for a specified date range
  • PODs by driver - lists all PODs for a driver for a date range
  • Unproductive PODs - lists all unproductive PODs for a date range
