Information Query
Search functionality is available throughout the system. It enables you to quickly and easily locate information at any time.
Unique Features
Some of the unique features of this module include:
- 'Google style search' - key in what you want to search for and the system will trawl through all data to find it
- Filtered search - as an alternative to the 'Google style search' input filtered criteria to help location the information you need
- Phoenetic search - search for an exact combination of characters, a subset of characters, or a 'sounds like' set of characters
- Wide search - search for customers, transactions, assets, stock from a single search option
The remainder of this page contains further information on the features and functions of the Information Query module.
Customer Search
The customer search looks through the following information to match the criteria input:
- Name - customer name
- Address - searches through the entire address
- Postcode - all postcodes that match the criteria input will be returned
- Telephone number - main customer telephone number
- Contact - all contact names recorded against the customer
- Street - street on which the customer is located
Complex searches are supported which allow you to search for a customer name on a specific street.
Even if the result set comes back with more results than you anticipated, you can refine the search to hone in on the customer
you are looking for. The results of your last search are also available in your work area, so you can go back and review the
result set from a previous query.
The customer search can be undertaken for accounts that are:
- Active - open accounts that may have transaction activity on them
- Prospects - database of contacts which have not been converted into customers yet
- Leads - prospects that have been contacted but that have not converted into customers yet
- Historic - 'deleted' accounts
Transaction Search
This search can be used to retrieve any type of transaction recorded on the system including:
- Order - from an order, you can view the POD associated with it (if any) and the invoice (if any) on which it billed
- POD (Proof of Delivery) - from a POD, you can view the order from which it was generated (if any), and the invoice on which it was billed (if any)
- Invoice - from an invoice, you can drill back to the POD (if any) or order (if any) on which the invoice is based
- Receipt - for each receipt, you can view the invoices against which it was allocated
The status of each transaction is displayed when viewed, so that you can see if it has been fully processed or not, e.g. you
can see if a POD has been converted to an invoice yet or not.
Stock Search
The stock level in one or more warehouses (including mobile warehouses - i.e. vans) can be viwed with this search.
The search criteria available are:
- Product - stock of a specific product, or stock of all products can be displayed
- Warehouse - stock in a single warehouse or across multiple warehouses can be displayed
Asset Search
You can quickly and easily identify the current location of any asset with this search. Although an asset may be retagged
(i.e. have its serial number changed several times), you can search using any of the numbers by which it has ever been known.
When viewing the results of a search, you can examine the following information for an asset:
- Current location - this can be a customer address, or a warehouse location
- Current contract - if the asset is currently with a customer under contract, the terms of the contract may be displayed
- Movement history - the history of all movements of the asset can be displayed
- Service history - the history of all service activity on the asset can be displayed
- Sanitisation history - the history of all sanitisation activity can also be displayed
- Serial number history - the list of all serial numbers by which the asset has been known can be displayed
