Supplier Management
Suppliers are an integral part of the purchasing process. This applies to suppliers of stock items, as well as suppliers of
utilities, services and non-stock items.
Unique Features
The key strength of the system is gathering all supplier information into a single location. This includes:
- Head office/branch structure - just as the customer module provides for head offices with multiple accounts, the supplier supports a similar structure
- Purchase orders - all orders placed with the supplier can be displayed from the supplier screen, both active orders and historic ones
- Purchase invoices - purchase invoices both current and historic can be displayed
- Product code mappings - supplier codes for products available for resale can be mapped to your codes - purchase orders are created using your code but suppliers see their codes
- History - supplier records are NEVER DELETED - they are simply marked as 'historic' which removes them from current views
- Aged debt - six months ageing is used, and aged debt at any point in time can be displayed for a supplier
The remainder of this page contains further information on the features and functions of the supplier module.
Available Activities
The following activities can be performed from the supplier screen:
- Create a new site account - create a new branch for the supplier
- Create purchase order - create a new purchase order
- Record invoice - record an invoice received from the supplier
- Record payment - record a payment made to the supplier
- View returns - view all RMAs (returns) that have been sent back to the supplier
Reports
Examples of the reports that can be generated from information processed through this module include:
- Account Statement - list all transactions for a defined date range and show the aged debt at that time
- Activity - analyses orders and receipts to show stock movements
- Aged Debt - run the aged debt report for a single supplier or for all suppliers
